Overview

tmrk (“we”, “us”) provides a meeting-recording and notes platform that records your video calls, transcribes them, and generates summaries, action items, and searchable archives. This policy explains what we collect, how we use it, and the choices you have. By using tmrk you agree to the practices described here.

Information we collect

  • Account information — your name, email address, password (stored only as a secure hash) or Google sign-in identity, and the workspace/ organization you belong to.
  • Calendar data — when you connect Google or Microsoft calendar, we read upcoming events (titles, times, attendees, meeting links) to schedule recordings. With your permission we may add our recorder to an event.
  • Meeting content — audio and (where enabled) video recordings of meetings you record, plus the transcripts, summaries, action items, and embeddings derived from them.
  • Integration & email data — content you choose to connect (e.g. mailboxes or other tools) to enrich your workspace.
  • Usage & device data — log data, device/browser information, and basic analytics needed to operate and secure the service.

How we use your information

  • To record, transcribe, summarize, and index your meetings.
  • To provide search and “ask across meetings” grounded in your own accessible content.
  • To operate, secure, support, and improve the service.
  • To communicate with you about your account, support requests, and service updates.

We do not sell your personal information, and we do not use your meeting content to train third-party foundation models.

AI processing & subprocessors

To deliver transcription and AI features we use trusted third-party processors, which may include speech-to-text and large-language-model providers, cloud storage, and hosting infrastructure. These processors act on our instructions to process the content you submit. Where you supply your own AI provider key (BYOK), your content is processed by that provider under your own terms.

How we share information

We share your information only: within your workspace according to access rules (e.g. meeting visibility for attendees, owners, and admins); with the subprocessors described above; when required by law; and to protect the rights, safety, and security of our users and the service.

How we access and use Google user data

When you sign in with Google or connect your Google Calendar, we access the following Google user data through Google APIs: your basic profile and verified email address (to create and secure your account), and your Google Calendar events — titles, times, attendees, and meeting links — via the calendar.events scope. We use this data solely to: authenticate you; display and sync your upcoming meetings; associate recordings and notes with the correct event; and, only when you choose to record a meeting, add our recording assistant as an attendee to that specific event. We store this data on encrypted infrastructure, and you can disconnect Google or delete the data at any time.

tmrk’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, and we do not allow humans to read it except with your consent, for security purposes, to comply with applicable law, or where the data is aggregated and anonymized.

Recording consent

You are responsible for obtaining any consent required by applicable law before recording a meeting and its participants. tmrk surfaces the recorder’s presence in meetings; you should inform participants that a meeting is being recorded.

Storage, security & retention

Recordings and derived data are stored on encrypted cloud infrastructure and served only via short-lived, signed links — never from public buckets. We retain your content for as long as your account or workspace is active, or as needed to provide the service. You can delete individual meetings (which removes the recording, transcript, notes, and embeddings) at any time, and deleting your account removes your associated data.

Your rights

Depending on your location, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can exercise these rights from within the app or by contacting us.

Cookies

We use strictly necessary cookies to keep you signed in and to operate the service. We do not use advertising cookies.

Children

tmrk is not intended for individuals under the age of 16, and we do not knowingly collect their personal information.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the effective date above and, where appropriate, by notifying you in the app.
